EASTERN CANADA PARTNERSHIP

HOW TO RESERVE A PROJECT

  1. Check the list of currently available opportunities by clicking on “Opportunities to Serve” on the right hand menu.
  2. “Reserve” the project you want by clicking the “Sign In” or “Reserve”(if you are already signed in) button at the bottom of the desired project page. You will receive step-by-step instructions. Please sign up for only one project at a time.
  3. Projects will be filled on a first-come, first-served basis. Realize, though, that more than one person or group may “reserve” a project before the Project Manager is able to review and give approval. The Project Manager will contact you via phone or e-mail to let you know the status of the project.
  4. Once approval is given, the team leader will receive contact information for correspondence with the requestor in Eastern Canada. The team leader will have one week to correspond with the requestor, in order to discuss all details of the trip - including housing, meals, materials/supplies needed, etc. After doing so, the team leader will inform the Project Manager as to whether or not the assignment will be accepted. If so, a permanent match will be made. If not, the project will go back on the active publication list.
  5. Once a project is assigned, each team member will need to sign in to the web site and “reserve” the approved project. This will create the team list. (This step may also be accomplished by the team leader adding each member’s information.)
  6. Each team member will submit (through the team leader) a check for $5. This covers important volunteer insurance. This insurance is required for all participants.  A team insurance enrollment form is available in the “resources” section of each project. Project t-shirts will be available for purchase at $8 per shirt if desired. An electronic orientation manual will be sent to each team leader. Make checks out to NC Baptist Men, and sent to PO Box 1107, Cary, NC 27512. Make sure to put the project number (found on the “project name” - i.e. CA08-011) on the check memo.
  7. Each team will work out its own travel arrangements. The team leader will need to send a copy of the team’s travel itinerary to the Partnership Office as soon as it is available, and preferably with the team check.
  8. A report / evaluation form is available in the “resources” section of the project description. We ask that they be completed and sent back to our office. This information will assist us in preparing for future projects, keeping records on completed mission assignments, and evaluating the accomplishments of the Partnership.
